When the receipt reference does not match the application

Steps for investigating a development permit payment receipt posted against an unfamiliar or earlier reference.

A receipt can carry a property account, customer number, cashier reference or an earlier application identifier. The mismatch matters, but it does not automatically mean the payment has been lost.

Trace the reference family

List every number associated with the property and submission: erf description, account number, portal case, invoice number and consultant job reference. Note where each first appears. This often reveals that the payment reference is valid but belongs to a different layer of the authority’s records.

Confirm the beneficiary and value date

Verify that the banking details match the authority’s verified instructions and that the amount left the payer’s account. Then compare the value date with the receipt date; batch allocation can create a delay.

Request written allocation confirmation

Ask the authority to state which account and application received the funds, quoting the amount, date and bank reference. If a transfer between references is required, retain the request and the resulting updated statement. This closes the evidence gap for future reviewers and prevents the same issue returning at project close-out.
